At Banhoek Corner Guesthouse we look after your personal information with the same care we give to your stay. This policy explains what information we collect, why we collect it, who we share it with and what rights you have. It is written in line with the Protection of Personal Information Act 4 of 2013 (POPIA). For guests from the European Union we also respect the rights granted by the General Data Protection Regulation (GDPR).

1. Who is responsible for your information

2. What information we collect

Booking details: name, email address, telephone number, country, arrival and departure dates, number of guests and any special requests.
Payment details: card payments are processed securely through our booking system NightsBridge and its payment provider. We do not store full card numbers on our website.
Check-in details: we may ask to see your ID or passport and the credit card used for the booking to confirm your identity.
Messages you send us: when you contact us through our contact form, by email or via WhatsApp, we receive the information you include in your message.
Website usage data: information about how you use our website, such as pages visited, device type, browser and approximate location, collected through cookies and similar technologies (see section 6).

3. Why we use your information

To process and manage your booking and prepare for your stay.
To answer your questions and requests.
To process payments, cancellations and refunds.
To meet our legal obligations, for example tax and accounting requirements.
To improve our website and understand which of our offers are of interest.
To send you news and special offers, but only if you have agreed to this or, as a previous guest, about similar offers. Every such message includes an easy way to unsubscribe.

We process your information because it is necessary to fulfil our agreement with you, because the law requires it, because we have a legitimate interest in running and improving our guesthouse, or because you have given your consent.

4. Who we share your information with

We never sell your personal information. We only share it with service providers who help us run the guesthouse and who are required to keep it secure:

NightsBridge (online booking system and payment processing)
Google (website analytics and maps)
Meta Platforms (Facebook and Instagram, including the Meta Pixel for measuring our advertising)
WhatsApp, if you choose to contact us that way
Weglot (website translation)
Our website hosting provider and our email provider
Authorities, where we are required to do so by law

5. Transfers outside South Africa

Some of these providers process information outside South Africa, for example in the European Union or the United States. Where this happens, we only work with providers that offer an adequate level of protection, as required by section 72 of POPIA.

6. Cookies and website tracking

Our website uses cookies. Some are necessary for the website to work properly. Others help us understand how visitors use the site (Google Analytics) and measure the results of our advertising (Meta Pixel). You can block or delete cookies at any time in your browser settings. Blocking some cookies may affect how the website works.

7. How long we keep your information

We keep your information only as long as we need it for the purposes described above, or as long as the law requires, for example for tax and accounting records. After that we delete it or make it anonymous.

8. How we protect your information

We take appropriate technical and organisational measures to protect your information against loss, misuse and unauthorised access. Only people who need your information to look after your booking have access to it.

9. Your rights

You have the right to:

ask whether we hold information about you and request a copy of it
ask us to correct or delete your information
object to the processing of your information, including for marketing
withdraw your consent at any time, where we rely on consent
lodge a complaint with the Information Regulator of South Africa (inforegulator.org.za) or, if you live in the European Union, with the data protection authority in your country
